Review a driver’s walkaround and defects

Find the driver’s submitted check, read the answers and photos, and follow up on any reported defects.

THE QUICK ANSWER

Open Defects and filter by vehicle. Check the reporter and date, open a defect, then select View the check when the defect came from a walkaround. To find a check with no defects, open the vehicle’s Checks tab and its PDF. A blank defects list does not prove that a walkaround was submitted.

Before you start

You need Maintenance access to view defects and check sheets. Opening a vehicle’s Checks tab also needs Fleet access. Acknowledge, triage, rectify, close and correcting-check actions need permission to make changes in Maintenance.

  • Know which vehicle the driver checked and the expected date or shift.
  • Check both the driver’s name and the submission time; an older check may concern a different shift.
  • Keep reviewing a report separate from deciding a vehicle is ready for use.

Find the vehicle’s reported defects

Open Defects and choose the Vehicle. Set Status to All when you want the full picture, then narrow it if needed. Review Source, Reported, Severity and Status. Check the reporter’s name and timestamp against the driver and shift you are following up.

You are looking at the correct vehicle and can distinguish new reports from older defects.

Open the defect and its original check

Select the defect row to open its panel. Read the description and any attached photos. For a defect raised from a failed walkaround answer, select View the check. A manually filed defect may name its question without offering this link, because no walkaround check created it.

The source check opens, or you have confirmed that the defect was filed separately.

Read the driver’s answers

On the check, confirm the vehicle, Carried out by, Started / submitted times and outcome. Read each Item, Result and Notes, including the failed question and photos. Download PDF if you need the recorded sheet. Follow any correction or superseded notice so you understand which record corrects which.

You have checked the actual submitted answers and any later correcting check.

Find a check that reported no defects

If no matching defect appears, open the vehicle record from the vehicle list and choose Checks. In Walkaround history, find the date and Carried out by, then select PDF. This history includes checks that passed. If the expected submission is missing, follow up with the driver; an empty defects list is not a completed check.

You have either found the expected submitted check or identified a missing submission to follow up.

Hand over any action that is needed

Read the defect’s current status and pass unresolved items to the person responsible for maintenance. If you manage defects, use the appropriate acknowledgement and repair workflow. Acknowledging a report records that it has been seen; it does not record a repair. Before using any rectify, close or return-to-service action, verify the work and the vehicle’s current position.

Each unresolved report has an owner, and the recorded status reflects the action actually taken.

Check it worked

  • The expected driver, vehicle and submission time have been matched.
  • The answers and any relevant photos or correcting check have been reviewed.
  • Unresolved defects or a missing submission have been followed up.

Something not quite right?

Why can I see no defects for this driver?

Check the Vehicle, Status and Severity filters. A passing walkaround creates no failed-answer defects, so look in the vehicle’s Checks history as well. No results may also mean the expected check has not been submitted.

Why is View the check missing?

That link appears when the defect is linked to a failed answer on a submitted check. A manual or imported defect may not have an originating walkaround.

Can I edit a submitted check?

Submitted checks are retained as records. A user with Maintenance permission to make changes can use Correct this check from the vehicle’s Checks tab to record a separate correcting check; the original remains.

Does Acknowledge defect clear the fault?

No. Acknowledgement, triage, rectification and closure are separate actions. Read the current defect and vehicle status before taking the next action.
