Manage a defect through to closure

Acknowledge and assess a reported defect, record verified rectification, then close it while checking the separate vehicle status.

THE QUICK ANSWER

Acknowledge and assess a reported defect, record verified rectification, then close it while checking the separate vehicle status.

Before you start

Maintenance Manage. Actual assessment, repair and return-to-service decisions belong to authorised responsible staff; the lesson is about recording those decisions, not qualifying a viewer to make them.

  • Use a fictional defect with known origin, photographs and a documented demonstration repair.
  • Plan a single-defect main example plus an alternative vehicle with another open defect. No operational vehicle is changed for filming.
Action / check Best practice Critical check
1

Read the fault before changing it

Open the defect and match the vehicle, report and photographs. Check whether it came from a driver’s check or was filed separately. Read the current defect and vehicle status before taking any action.

Check the screen for: Vehicle, origin, description, photos and status.

2

Acknowledge the report

Choose Acknowledge defect once you have reviewed it. Check the acknowledgement is recorded. This shows the report has been seen; it does not mean the fault has been repaired.

Check the screen for: Acknowledge defect → acknowledgement name/time.

3

Record the assessment

Record the responsible person’s assessment using Severity and the off-road control, then Save triage. Recheck the vehicle status after saving: changing these settings can affect whether DTE treats it as available.

Check the screen for: Severity, Mark registration off road (VOR), Save triage.

4

Record the completed repair

After the work has been checked, enter Work carried out. Link the rectifying service if relevant. Read the confirmation, then use Mark rectified and sign off only when you can truthfully make that declaration.

Check the screen for: Work carried out, optional service, confirmation and Mark rectified & sign off.

5

Close and check return to service

Next, choose Close defect. If Return to service is offered, treat it as a separate decision and select it only when appropriate. Closing alone does not guarantee the vehicle returns to service; check its resulting status.

Check the screen for: Rectified state, optional Return to service and Close defect.

6

Check the retained record

Find the closed defect using the status filter. Check the repair notes and closure date, then review any other open defects. The closed entry remains on the register; closing is not deletion.

Check the screen for: Closed filter, repair notes and other open defects.

Check it worked

  • The defect should show the assessment, verified repair and closure. Confirm the vehicle’s current status separately, and hand over any remaining faults.
