Update walkaround questions
Change the questions drivers see, choose suitable answer types, and preserve submitted check records.
Open Settings → Walkaround checks and choose the correct checklist. Use the pencil beside a question to edit the available fields, then Save. Add question creates a new question; the switch turns it on or off. Answer type is fixed when the question is created. Coordinate changes before drivers start a check, and reload a new check form to verify the result.
Before you start
You need Settings access with permission to make changes. The default walkaround can be edited without the VMS module; editing extra checklists also needs VMS. Viewing a driver’s check requires the separate Maintenance permission.
- Identify the checklist you intend to change; do not confuse a driver’s walkaround with an inspection sheet.
- Agree the wording and answer type with the person responsible for your checking process.
- Plan changes before a shift or check begins, then tell affected drivers what changed.
Open the correct checklist
Open Settings → Walkaround checks. If several checklists are shown, select the one used for the driver’s walkaround. Read its name and the current sections before changing anything.

Edit a question’s available fields
Select the pencil labelled Edit question. For a Custom question, change Question, Description or Section as needed. Sort order controls position within a section; lower numbers appear first. You can also update the optional DVSA manual ref and comma-separated Canned answers. Select Save and check the confirmation. Questions marked DVSA have fixed text and section.
The saved question has the intended wording, section and order.
Add a question with the right answer type
Use Add your own question, choose Section and Answer type, and select Add question. The types are Pass / fail, Odometer reading, Measurement in mm, Measurement in %, and Signed off by. Only Pass / fail can produce a failed answer and create a defect. Measurements and sign-offs record values; they do not fail by themselves. Answer type cannot be changed later.
The new question appears with the intended type and is active.
Switch off a question that should stop being asked
Use the switch beside the question and check that the row says switched off — not currently asked. Switching on makes it available to subsequent checks. Questions marked DVSA cannot be deleted. A Custom question that has been answered or has a defect filed against it must also be switched off instead of deleted.
The active state matches the intended question set, with historical records retained.
Check the next form and tell the drivers
Review the active questions in order. Open or reload a new check form for the correct checklist to confirm what drivers will see, and tell them about the change. Avoid changing a checklist while someone is completing it: a newly active question can make an older open form incomplete. Submitted checks retain their recorded question text and results; editing the template does not rewrite them.
The next form shows the intended questions and affected drivers know what changed.

Something not quite right?
Why can’t I change a question’s answer type?
The type is fixed at creation so existing answers keep their meaning. Create a new question with the correct type and switch off the old one when it should stop being asked.
Why can’t I edit the text of a DVSA question?
Questions marked DVSA have fixed text and section. The available controls include ordering, canned answers, the manual reference and the active switch. Add a Custom question if you need different wording.
Why can’t I delete a Custom question?
A question is retained once it has been answered on a submitted check or a defect has been filed against it. Switch it off instead. Questions marked DVSA are never deletable.
What does Restore DVSA defaults do?
It adds any missing seeded default questions and turns deactivated seeded defaults back on. It leaves Custom questions in place; it is not an undo for every change. Review the active list afterwards.
Do edits rewrite older checks?
No. Submitted check answers store their question text, section, order and recorded values. Template changes affect subsequent checks. If a driver already has a form open, coordinate the change and reopen or reload it.
Why can’t I edit an extra checklist?
Extra checklists need the VMS module as well as Settings permission to make changes. The default walkaround remains editable without VMS.
How many Canned answers can I add?
Enter up to eight comma-separated answers, with at most 60 characters per answer. Keep them clear and short.
