Use the daily and weekly planner

Find work needing crew, move between the daily Jobs and Week views, and interpret warnings without mistaking them for approval.

THE QUICK ANSWER

Find work needing crew, move between the daily Jobs and Week views, and interpret warnings without mistaking them for approval.

Before you start

Dispatch View; Manage is required to change allocations. Own Jobs restrictions and a forward horizon can limit what a user sees. Bookings access is needed to open full booking details.

  • Use a representative fictional week with unallocated work, fully crewed work and one approved-leave clash.
  • This is a review/navigation lesson; allocation changes and sending tickets remain separate lessons.
Action / check Best practice Critical check
1

Choose the day in Jobs view

Open Daily Planner and choose the date. The Jobs tab shows the day’s work in time order. Check the date and Show quotes setting first, so you know which work you are looking at.

Check the screen for: Jobs tab, date and Show quotes.

2

Find journeys needing crew

Read the Coach and Driver columns and expand a multi-leg booking where needed. Open a journey’s details to check missing allocations. A driver without a coach, or a coach without a driver, still needs attention.

Check the screen for: Coach / Driver cells and journey detail panel.

3

Switch to the weekly view

Select Week to see work across the week by driver. Use the week controls to move dates, then open a day or job for the detail behind a busy cell. Read the legend as well as the colour.

Check the screen for: Week tab, week range, driver cells and legend.

4

Read the warning, not just the colour

Holiday marks approved time off. Error highlights work booked on a day off; consecutive-day flags also need review. Scheduling warnings do not certify a safe or workable allocation. Check the actual work and resolve the conflict with the office.

Check the screen for: Holiday, Error — work booked on a day off, consecutive-day flag.

5

Check what the planner can show you

If work appears to be missing, recheck the date, quotes setting and any access notice. A restricted view is not proof that the whole fleet is free. Ask the office if you need a wider view.

Check the screen for: Date, Show quotes and scope/horizon notice.

Check it worked

  • You should be able to identify the journey that needs a vehicle, a driver or a conflict review, and open its details on the right date. Finding the issue is the first step; changing it is separate.
