Before you start

Sales ledger View for Customer balances and statements. Recording money/credit allocations requires Payments and the relevant additional permission; sending a statement requires Sales ledger Manage.

  • Use fictional customers with current, overdue and in-credit positions.
  • Reconcile known payments, credits and disputes under the normal office process before contacting a customer; this lesson is a record-review workflow, not debt-collection advice.

Use the due-date view

Open Customer balances and choose By customer, aged by due date. Total owed and Overdue are different figures. The neighbouring By travel month view groups by the journey date, not how late payment is.

Read the ageing columns

Look across Current and the overdue-day columns for the customer. Current is not yet overdue. Read the Balance as well: a customer may have recorded credit, so an overdue invoice amount and the customer’s overall position are not always the same.

Check the screen for: Current, 1–30, 31–60, 61–90, 90+ and Balance.

Find the customer’s statement

Use Customer name and Search to find the right account, then choose Statement or the customer name. Match the account carefully, especially where customer names are similar.

Check the underlying records

Review the statement’s invoices, due dates and recorded payments or credits. Open the relevant invoice if you need the detail. Check any known recent payment or query with the office before deciding the customer needs a reminder.

Choose the next action deliberately

Decide whether the next step is a statement, a customer query or a payment-record correction through the proper workflow. A report cannot prove that unrecorded money has not arrived, so check the evidence before contacting the customer.

  • You should know which invoice or customer position needs attention and why. Keep the due-date ageing, recorded credits and any unresolved payment query together when you follow up.
