Before you start

Directory & leads Manage to price/decline, with Receive enquiries enabled. Contact details depend on the operator’s entitlement and the lead’s state; Bookings Manage is separate for later conversion.

  • A live fictional enquiry is available in the operator inbox and has not expired.
  • Review availability and the required total price under the operator’s normal process. Capture in a test environment with email logged, never sent to real customers.

Open a live enquiry

Open Enquiries and choose the request from the Open list. Match the reference, pickup, destination, travel and return details. Check passengers, any wheelchair requirements and the expiry before deciding whether you can offer the work.

Check availability and the available details

Review availability with the office. If customer details are anonymised, use the enquiry response controls; missing contact details can be part of your plan, not an error. A closed enquiry cannot take a new price.

Enter the total price carefully

In Your price, enter the total in pounds. Check the journey and amount together before choosing Send price to customer. This sends a customer-facing response; it is not a private draft or a per-passenger price.

Check the recorded price response

Wait for the confirmation and check that the enquiry shows Priced with the intended amount. That records your response; it does not prove the customer has read or accepted it.

Decline when you cannot offer it

If you cannot offer the journey, use Decline enquiry instead and check the recorded result. Make that decision deliberately; do not send a made-up price just to clear the request from your list.

If the customer accepts

A successful enquiry shows Won. Where available, Convert to booking starts the next workflow so you can complete the journey and confirm it. Winning an enquiry is not the same as having a fully confirmed, allocated booking.

  • The enquiry should show your intended price response or decline. If it is won, the booking still needs its own review, confirmation and planning.
