Before you start

Driver app Manage plus the VMS entitlement. Fuel top up is not shown to every driver. Entries are tied to the signed-in driver.

  • VMS is enabled and Fuel top up appears under More.
  • Have the receipt and actual odometer reading; use a fictional coach, receipt and fill-up for filming.

Open a fuel entry and choose the coach

From More, open Fuel top up and choose New fuel top up. Check the Coach registration before entering anything. If Fuel top up is missing, ask the office to check your access and VMS availability.

Enter litres and amount paid

Enter the Litres from the receipt, then the total Amount paid in pounds. Keep these separate: the amount is the total cost of this fill-up, not the price per litre.

Add the odometer and date

Enter the actual Odometer reading in the unit shown for that coach. Check the Date is the day of the fill-up. Choose Paid by if useful; do not copy the previous odometer reading just because it is displayed.

Attach the receipt

Tap Add receipt photo and check the preview is readable, including the total. Add a short Note if the office needs context. Receipt photographs are optional in the form, but useful for checking the entry.

Save and check the recorded entry

Tap Save fuel top-up once and wait for the saved entry. Compare the vehicle, litres, amount and receipt. If you see Saved offline, reconnect and check for the actual entry before assuming it reached the office.

Check it worked

  • The completed result is one recorded top-up with the correct figures and a readable receipt where supplied. If the entry is missing or wrong, contact the office before creating a duplicate.
